Document generation automation

The order arrives, and the paperwork the team works from writes itself.

Automation that turns a record into the documents the business runs on: the prep sheet, the run sheet, the plan, generated from live data by rules.

Built with Next.js, Supabase, Vercel.

The situation you are probably in

Between the system that holds the order and the team that does the work sits an hour of retyping: the prep sheet, the schedule, the pack that goes to the client. It is copying, so it happens late and carries errors, and when the order changes, the paperwork does not, and the team delivers last week's version of the job.

What we do about it

We build the documents as outputs of the record, not copies of it. The layout is a template your team designed; the content is generated from the live data by rules, so a change to the order changes the paperwork with it. Formatting and arithmetic are code, which is why nothing is mistyped. Where judgement belongs in the document, a person adds it; everything mechanical stops being anyone's job.

Typical engagement. Two to four weeks per document family, fixed fee, over records that already exist.

Where this already runs

Running in two businesses: a catering operation where orders become kitchen prep sheets generated from the live record, and an events business where a trip plan becomes a client-ready PDF on demand. In both, the arithmetic and the layout are code, and the team stopped retyping.

Most builds of this shape start with the two-week assessment: we map the process as it runs today, cost it, and write the scope. The fee is credited in full against the build.

Start with the two-week assessment

What you receive.

Concrete things, not outcomes on a slide. This list is the scope of the engagement.

  1. 1

Your working documents generated from the live record: prep sheets, run sheets, plans, packs

  2. 2

Templates your team designed, filled by rules rather than retyping

  3. 3

Regeneration when the record changes, so the paperwork is never behind the order

  4. 4

Every figure and total computed in code

  5. 5

PDFs and printouts formatted for how the team actually uses them

  6. 6

A record of every document generated, and from which version of the data

A good fit when

  • Somebody retypes system data into documents every week
  • The documents follow a shape a template could hold
  • Late or wrong paperwork has a real operational cost

The right starting point when

Not sure which of these is you? Describe the process and we will point you at the right one, on this page or another.

Price it before you commission it

Put the hours the task takes today, the salary of the person doing it and any quote you hold through the payback calculator. It shows the yearly saving, the payback period and the arithmetic behind both. Free, and nothing is stored.
